Role Summary

We’re looking for a highly organized individual who has excellent order processing and office administration skills. In this exciting and varied role, you will also coordinate our logistics schedules for the US office, helping to ensure that the business operates smoothly and efficiently. As well as working as part of the Charlotte team, you will work closely with colleagues in the UK headquarters and Management inSites.

The role is full-time, in-person, and is based in South Charlotte.

Minimum Qualifications

  • Associate’s or Bachelor’s degree in Business.
  • 3+ years of experience working in an order processing function within a manufacturing or distribution business.
  • Highly organized and customer-focused with a rigorous attention to detail and accuracy.
  • Confident user of common software tools (e.g. MS Office and video conferencing platforms).
  • Fluent in English with superb written and verbal communication skills.

Preferred Qualifications

  • Experience in inventory management.
  • Experience in international & domestic logistics coordination.
  • Experience using software platforms like QuickBooks, SOS Inventory (or similar systems), and ERP / MRP systems (Sage or Epicor preferred).

Responsibilities

  • Sales administration:
    • Obtain documentation to set up new customers on the company’s system and provide documentation to register the company as a new supplier.
    • Register the company on customer procurement portals as required and process orders through those portals.
    • Process new customer orders through the company’s system and provide the customer with an order acknowledgment.
    • Be the administrative point of contact for all customer queries concerning current orders.
  • Inventory management:
    • Working with the warehouse and sales teams, manage inventory in line with demand and stock holding targets and place orders with the factory.
    • Ensure that inventory systems are maintained and highly accurate.
  • Shipping & logistics:
    • Liaise with the warehouse to ensure customer orders are ready for dispatch and arrange shipping to the customer accordingly.
    • Working with the factory team and international logistics companies, plan and manage inbound container and LCL shipping.
  • Accounting & reporting:
    • Enter vendor bills into the system and submit AP reports to management for timely payment.
    • Review staff expense reports and verify company credit card activity; enter into the company’s accounting software.
    • Run weekly financial and system reports and distribute to the executive team.
  • General administration:
    • Provide administrative support to the team as required.
    • Develop and document systems and processes to ensure the smooth administrative functioning of the business.
    • Process all incoming mail.
    • Monitor office supplies and order as required.
    • Report any office IT problems to the company’s IT service providers.

Pay & benefits

  • $50,000 – 60,000 salary (dependent on experience)
  • 4 weeks PTO + 8 federal holidays
  • Friday afternoons off (they finish at 2pm)
